Training & Game Schedules
All volunteer coaches will receive an exclusive password to access the online Technical Area, where they can view complete seasonal training schedules and weekly game schedules. This password will be emailed directly from the Technical Program Lead in the coach welcome email a few days before the season starts.

🚨 Volunteer Coaches and Team Managers need to inform parents about practices, games, times and locations and any changes, as soon as possible via email or a team messaging app/group.​​

Player/Team Uniform Pick-Up
Your team head coach and/or manager will receive an email or some form of communication from our Operations Manager, Kevyn Oyhenart (koyhenart@coastalfc.ca), with pickup information.

Each player receives a package: jersey, shorts, and socks.
-
Team staff are responsible for internal distribution. Exchanges will not be made based on jersey number preferences and will be based solely on the club's uniform policy.​

Pick-Up Info:
-
Dates & Time: September 1st through the 4th from 2:00 PM – 8:00 PM
-
Location: Rotary Field House (14600 Rotary Way, center of SSAP) — Warehouse side, directly across from South Surrey Arena.
-
Parking: Do not park in the driveway leading to the warehouse.

Pick-Up Details:
-
Expect a 30–40 minute wait time (takes ~10-15 mins per team).

If missed, pick-up will not be available until sometime the following week when practices are underway
-
Any team staff member or designated parent can pick up on behalf of the team, so please plan on this to ensure you have your equipment
-
IF you kept equipment, then please do not take extra, as we only have enough for the teams we have accounted for
-
No uniform exchanges or fixes will occur during pick-up days.

Missed or cannot make Pick-Up Window?
If you missed the pick-up windows or cannot make the designated pick-up windows, the following procedure must be followed:
Step 1: Send an email request letting Kevyn know, or use the online equipment form.
Step 2: You will be given a pickup date and time at our earliest convenience.

Uniform Exchange Guidelines

1 Size Too Big: No exchange. Try to swap within your team.
-
Too Small or 2+ Sizes Too Big: Eligible for an exchange from extra supply if it cannot be resolved within the team.

Process: Exchanges will be evaluated case-by-case during designated evenings (TBD via email).

Forms: Submit requests via the Coastal FC - Uniform Exchange Form or Coastal FC - Equipment Request Form. Requests outside policy will be declined.

Single Contact: Designate one team staff member to coordinate all equipment/uniform requests with Operations. Parents should not contact Operations directly.​

Equipment Pick-Up

Distributed on an as-needed basis.
-
Returning Teams: Keep fall season gear (cones, pinnies); you will only receive top-ups (primarily new balls).

New Teams/Staff: Will receive full equipment on designated pick-up nights.
-
Coaches may bring additional age-appropriate, safe equipment if needed.

Missing Equipment: Check with adjacent teams for lost balls/gear before requesting replacements. Extra gear requests depend on club inventory after all teams are allotted.

Weather Guidelines

Pre-Session Check:

Coaches: Check email and social media before training and games.
-
Parents: Check team group chats and email before training and games.
-
Do Not Email the Club: Cancellations are emailed directly to Coaches, Managers, and Program Managers.

Weather Source: Official conditions are tracked via The Weather Network website and mobile app.

Communication & Updates

Direct Alerts: Cancellations and updates are emailed to Team Staff.

Public Alerts: General updates will be posted on the club website and social media.

Training Updates: Posted by 3:00 PM on session days.

Game Updates: Announcements may occur the night before, the morning of, or directly at the field depending on changing conditions.

Club & Team Communication
Communication Platforms:
Coastal FC recommends and encourages teams to use the official OTTO SPORT App for communication. For more information about the OTTO SPORT App, click here. If you are part of the Skill Centre, Team Snap is also an approved platform.
Alternatively, other communication platforms or apps may be used; however, Coastal FC does not endorse these platforms and cannot guarantee the security or confidentiality of any information shared through them. Use at your own risk.

​Club Responsibilities:

Inform team coaches & managers in case of weather-related cancellations or changes; notifications will be sent via email.

Provide a general update about Schedule Changes/Weather Cancellations via website & social media.

Communicate with the City of Surrey to evaluate field conditions regularly, usually on Thursday mornings.
-
Communicate internally with our operations staff about field conditions every other day.

Coaches /Managers Responsibilities:
